Submitting a project request involves filling out the attached Technology Project Proposal Form located at the bottom of this article. You'll need some information to enable assessing the request properly.
First, you'll need a Project Sponsor. This will be your Department Director, so you'll need to talk to him/her about your project.
Second, you need to think about your project:
- Identify the issue, problem or thing you want to fix or improve. What is it you want to do? This is your Project Description.
- Determine the outcome you want to see. What needs to happen or be happening when the project is complete? This is your Desired Outcome.
- Outline the tasks you'll need to complete your project. You won't know them all, but it will give you a good idea of what it will take to make your project a success. These are your Requirements.
- Determine who will benefit from your project and who will be needed to complete it, These are your Stakeholders.
Next, you'll need to come up with how much this is going to cost. This will typically involve getting some quotes from vendors, doing some online research and talking to your coworkers. You're probably not going to know all the costs and may need to rely on the Technology Division for stuff you don't know. That is OK and to be expected. You'll also need to find out how you're going to pay for this. All of these items are your Funding Sources and Estimated Costs.
Decide on how this fits into the Town's Strategic Technology Plan:
- Does it enhance our Town's Technical Infrastructure?
- Does it improve our software with Application Support?
- Is Training involved to help our staff grow professionally and/or personally?
- Will it help different departments work together with information Integration?
- Does it improve the Town's Customer Service to internal departments and/or our citizens?
While not part of the Town's Strategic Technology Plan, we do need to know if it is Mandatory.
Finally, we need a date you expect this to be done. Please don't use ASAP as that gives us no idea of your expectations. By now you should have a fairly good idea of what it will take to get this done and how long. This is your Desired Go-Live Date.
Please submit the request to [email protected].. IT will do an initial assessment and bring it to the Technology Steering Committee for final recommendations. If budget, resources and time are all available we will place the project on our schedule.
