The Town requires email signatures on all outgoing email. This communicates that the email is from the Town's email server and it also gives contact information to your respondent. It is also standard business practice. You can get a new email signature by submitting an ITHelp request with your name and contact information. We will generate two files for you to use: a tif file and a png. These are standard picture formats. Both of them will work with Microsoft Outlook. Your signature file will be placed on the TOS Public Drive ('P' drive) in the 'Email Signatures_Standard' folder. Instructions for installation are also there.
To add a signature in Microsoft Outlook 365, please do the following:
- Select the File menu (upper left corner) while in Outlook
- Select Options (bottom left corner)
- Select Mail in the Outlook Options screen
- Press the Signatures button next to 'Create or modify signatures for messages'
- Press the New button
- Choose a name for your signature such as New Messages
- Go find your signature file on the 'P' drive and open it
- Copy your signature (pressing Ctrl-c will do that) and paste it into the (Ctrl-v) Edit signature box in Outlook
- Make sure the name you chose for your signature is in the New Messages drop-box and Replies
- Press OK twice to close the Outlook Options boxes and your signature should be on all your outgoing email
